Personal Information

The day-to-day functions of Europlanet and europlanet-society.org neccessitate the collecting of some identifying information from site users. The information we collect and how it is utilised is detailed below.

Membership Information

Primarily we collect identifying information provided to us by Europlanet members upon creation of their accounts. This includes name, contact information, country, academic affiliations, date of birth, gender (optional), and employment status. This information is used internally by the Europlanet to service that member, connect society members, generate active regional hubs, and promote planetary science in Europe. Demographic information is further utilised to identify underrepresented groups and focus outreach initiatives for the benefit of the European planetary science community. This information is managed by the Europlanet Executive Office, hosted at the University of Kent, Canterbury, UK, and is never given out to third parties without the express consent of the member.

Europlanet Society Mailing lists

Europlanet maintains a list of emails interested in the Outreach and Europlanet Society newsletters, as well as those interested in updates on Europlanet conferences and events. You can remove your email from this list at any time by unsubscribing here or by sending an email with the subject unsubscribe to europlanet2024ri@kent.ac.uk.

Comments and Media

Whenever a member comments or uploads media to interactive sections of europlanet-society.org their membership account is associated with that comment . Some sections of europlanet-society.org may allow non-members to comment or upload media. In that case we collect the data shown in the comments form as well as the IP address and a unique browser user agent string to prevent spam or abuse of the site. Any threatening or illegal material submitted by members or non-members alike, along with this identifying information will be forwarded to the relevant law enforcement agencies.

Additionally, be careful with information you include in comments or uploaded images. Any comment or media uploaded to a general sections of the website will be visible to the world. Coments and media uploaded to member’s only sections of the website will be visible to all Europlanet Society members. Do not include sensitive information or passwords in the body of the comment.

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS). Visitors to the website will be able to download and extract any location data from images posted anywhere on our website. If you are concerned and would like to learn more about removing identifying EXIF data there are a number of resources available online including here (External link not affiliated with Europlanet).

Embedded Content

Several pages on europlanet-society.org include embedded content from service providers like Twitter or Youtube. These sections are clearly identified by the logo and content. Interaction with these element (pressing play on a video or liking a tweet) will result in the transfer of data to their respective websites.

Analytics

Anonymised analytical data is collected for europlanet-society.org using Google Analytics. This data is collected using cookies and anonymised IP adresses. To learn how to manage your cookies or how to opt out click here.

Analytical data allows us to determine how users interact with our website and ensure an optimal user experience. The information collected includes pages visted, and for how long as well as how you navigated to this website (did you click a specific link to get here). We collect the percent of visitors using each operating system, browser, and device to ensure our website is optimally configured for our current userbase. We do not collect or examine demographic data of website users including age, gender or interests which may be associated with you by Google Analytics or through trackers placed by other sites. Membership demographic data is collected seperatly and never associated with your analytics data, nor is it transmitted to Google or any other third party.

How long we retain your data

Data associated with memberships, comments or uploaded media are maintained indefinitely, even after memberships lapse or the media is removed from our site. This is to prevent abuse of our website (data for the prevention of spam), and to track the health of our European planetary science comunity. In an anonymised form, demographic data in historical membership may be used to idetify underrepresented communities and to target outreach efforts. If you would prefer your personal data removed please contact europlanet2024ri@kent.ac.uk.

Emails associated with the mailing lists are retained as long as the email remains subscribed. You can remove your email from this list at any time by unsubscribing here or by sending an email with the subject unsubscribe to europlanet2024ri@kent.ac.uk, upon which your email will be removed.

Website analytics data is retained by Google for 26 months.

Where we send your data

Membership data is maintained by the Europlanet Executive Office hosted at the University of Kent, Canterbury, UK. Elements of this data can be used for official Europlanet purposes by Europlanet AISBL and its Boards, Committees and Working Groups. This data is never transmitted to a third party without your express consent.

Email adresses on the Europlanet Newsletter mailing lists are managed using MailChimp an online marketing platform operated by The Rocket Science Group LLC, headquartered in the State of Georgia in the United States of America.

Analytics data is managed by Google Analytics in compliance with EU-US data transfer agreements and in full compliance with the GDPR.

Europlanet Equipment Loan Pool

The Europlanet Database allows Europlanet members to book scientific equipment. This process is facilitated through the use of a Google Form. We collect the name(s) and email address of those who will be accountable for the booked equipment. This data will be retained and used exclusively for the purposes of contact regarding the Europlanet Equipment Database and any bookings made. To request the removal of any data relating to the Europlanet Database please contact europlanetequipment@gmail.com.
